UTAH PICKLEBALL RETREATS | CANCELLATION & REFUND POLICY
Due to the exclusive nature of our private estate and the logistical requirements of group bookings, all reservations are governed by the following terms. By completing a booking, the Guest acknowledges and agrees to this policy in its entirety.
1. CANCELLATION TIMELINE: STANDARD RESERVATIONS
- 30+ Days Before Arrival: Full refund of accommodation charges (less administrative/processing fees).
- 15–29 Days Before Arrival: 50% refund of total booking charges.
- 14 Days or Less Before Arrival: All payments are strictly non-refundable.
2. EVENTS, RETREATS & GROUP BOOKINGS
Includes corporate offsites, team retreats, reunions, and structured group events.
- 60+ Days Before Arrival: Full refund of accommodation and event fees (less processing costs).
- 30–59 Days Before Arrival: Partial refund may be issued at the Host’s sole discretion, based on vendor commitments and scheduling.
- Under 30 Days Before Arrival: All payments are non-refundable.
3. NON-REFUNDABLE ITEMS
Regardless of the cancellation date, the following fees are non-refundable:
- Administrative, payment processing, and third-party platform fees.
- Travel insurance premiums and damage waiver fees.
- Vendor deposits or external service costs already committed.
4. MODIFICATIONS & RESCHEDULING
All requests to reschedule must be submitted in writing. While we aim to be flexible, rescheduling is not guaranteed and is subject to availability. Depending on the timing of the request, a modification may be treated as a cancellation under the terms above.
5. ARRIVAL & PROPERTY CONDITIONS
- The 2-Hour Rule: Any concerns regarding the property must be reported within two hours of arrival.
- Acceptance of Condition: Continued occupancy beyond the initial check-in period constitutes full acceptance of the property’s condition.
- No Retroactive Refunds: We do not offer refunds or compensation for issues reported after check-out or for subjective dissatisfaction (e.g., “value” perceptions or environmental factors typical of a rural estate).
6. FORCE MAJEURE & TRAVEL DISRUPTIONS
No refunds will be issued for disruptions outside the Host’s control, including but not limited to:
- Inclement weather or travel/flight delays.
- Personal emergencies or illnesses.
- Utility interruptions or government restrictions.
Note: We strongly recommend that all guests purchase comprehensive travel insurance to protect their investment.
7. FRAUD & ABUSE PROTECTION
All refund claims must be made in good faith. Misrepresenting property conditions or using “strategic” complaints to seek a refund after a stay is prohibited. We reserve the right to deny refunds, charge additional fees, or pursue legal action in cases of fraudulent claims.
8. THIRD-PARTY BOOKINGS (Airbnb, VRBO, etc.)
For reservations made via third-party platforms, the platform’s policies apply alongside our own. In the event of a conflict, the strictest policy will prevail where permitted by law.
