CANCELLATION POLICY

UTAH PICKLEBALL RETREATS — CANCELLATION POLICY

Due to the nature of private estate bookings, group reservations, and retreat-style stays, all reservations are subject to the following cancellation terms.

By booking a reservation, Guest agrees to this Cancellation Policy in full.

STANDARD RESERVATIONS (ACCOMMODATIONS)

30+ Days Before Arrival

  • Full refund of accommodation charges, minus any processing or administrative fees

15–29 Days Before Arrival

  • Fifty percent (50%) of total booking charges will be refunded

14 Days or Less Before Arrival

  • No refunds will be issued

EVENTS, RETREATS & GROUP BOOKINGS

This applies to:

  • Corporate retreats
  • Team offsites
  • Celebrations, reunions, or structured group events

60+ Days Before Event / Stay

  • Full refund of accommodation and event-related fees, minus processing costs

30–59 Days Before Event / Stay

  • Partial refund may be issued at Host’s discretion based on commitments, scheduling, and vendor allocations

30 Days or Less Before Event / Stay

  • All payments are non-refundable

NON-REFUNDABLE ITEMS

The following are non-refundable under all circumstances:

  • Administrative and processing fees
  • Third-party platform fees
  • Payment processing fees
  • Travel insurance (if purchased)
  • Vendor deposits or external services
  • Damage waiver fees (if applicable)

MODIFICATIONS & RESCHEDULING

Requests to modify or reschedule:

  • Must be submitted in writing
  • Are subject to availability
  • May be treated as cancellations depending on timing

Rescheduling is not guaranteed and is offered at Host’s sole discretion.

EARLY DEPARTURES & NO-SHOWS

  • No refunds will be issued for early departures
  • No refunds will be issued for no-shows

FORCE MAJEURE

No refunds will be issued for cancellations or disruptions caused by events outside of Host’s control, including but not limited to:

  • Weather conditions
  • Travel delays or cancellations
  • Personal emergencies
  • Government actions or restrictions
  • Utility interruptions

Guests are strongly encouraged to obtain travel insurance.

CONDITION-BASED CLAIMS (CRITICAL SECTION)

Guest agrees that:

  • Any concerns must be reported within the required 2-hour arrival window
  • Continued occupancy of the property constitutes acceptance of its condition

No refunds, partial refunds, or compensation will be issued for:

  • Issues reported after the initial check-in period
  • Subjective dissatisfaction (including “value” or preference-based concerns)
  • Environmental factors consistent with a rural or private estate setting

RETROACTIVE REFUND LIMITATION

Completion of the stay, in whole or in part, without timely reporting of material issues, constitutes a waiver of any right to:

  • Full or partial refunds
  • Retroactive compensation
  • Post-stay claims

FRAUD & ABUSE PROTECTION

Guest agrees that:

  • All claims must be made in good faith
  • Misrepresentation of property conditions is prohibited

Any attempt to obtain refunds through:

  • False claims
  • Exaggerated conditions
  • Strategic or delayed complaints

may result in:

  • Denial of refund
  • Additional charges
  • Termination of stay
  • Legal action where applicable

THIRD-PARTY BOOKINGS (AIRBNB, ETC.)

For reservations made through third-party platforms:

  • Platform policies may also apply
  • In case of conflict, the stricter policy will apply where permitted by law

REFUND PROCESSING

Approved refunds will be:

  • Processed to the original payment method when possible
  • Issued within a reasonable timeframe based on payment provider

ACKNOWLEDGMENT

By completing a reservation, Guest acknowledges:
